60-day data retention and automatic deletion

Last reviewed: 18 August 2026 · Documentation version: 1.1 · Applies to: Capture Snaps 3.9.32

Capture Snaps keeps managed event records and associated managed cloud media for 60 days after the event end date. They are then automatically deleted.

The event end date matters because it starts the 60-day retention period. Check that date when creating or editing an event, especially for multi-day bookings.

What the 60-day rule covers

The automatic deletion process covers data managed by Capture Snaps for the event, including:

  • The event record and event configuration
  • Guest upload records and stored media
  • Thumbnails and other generated derivatives
  • Moderation and delivery metadata associated with those uploads

You do not need to wait 60 days. Operators can delete an individual upload, all event uploads, or the entire event earlier from the application.

What is not removed by that process

The 60-day event retention period does not automatically remove:

  • Local application preferences, logs or cache files on an operator device
  • Subscription and billing records that must be kept for legal, accounting or fraud-prevention purposes
  • Copies already synced to third-party services such as SmugMug or Dropbox
  • Files exported or downloaded to another device

Delete third-party and exported copies from the system where they are stored.

Before the deletion date

Before an event reaches the end of its retention period:

  1. Confirm that the client has received their finished gallery or files.
  2. Export anything you are required to retain.
  3. Remove any content that should be deleted immediately.
  4. Check third-party destinations separately.

Deletion is intended to be permanent. Do not rely on Capture Snaps as a long-term archive.

For self-service and assisted deletion options, see the Data Deletion Policy.
